Based on responses so far, let's go for April 29th as the first choice.

We need to reserve the park/venue asap. Lakshmi has couple of calls in..

Could one of the Plano residents hold Plano Arbor Hills as a back up?

If you can help out, please join conference call tomorrow - Wednesday, March 21st at 9:00pm.  I will send out the conf call number shortly..

I will try to dial in for the call today. Swamped, so I may be unable. In that case, I'll catch up with you guys on to-do's and so on.

Arbor Hills is available at this time for either of the two slots on 4-29.  Either 8 am to 2 pm or 3 pm to 9 pm.  The reservation covers all three pavilions.  The charge is fairly nominal, $100 for Plano residents - $75 deposit upfront.  If I don't make it on the call, pl confirm with me and I'll make the reservation tomorrow - their office is open 9 to 5.

We will need to think through the food issue though given history!!!

Update: Arbor Hills pavilions have been reserved for Sunday, April 29th for the morning slot, 8 am to 2 pm.  All three pavilions are included in the reservation.  In essence, there are two slots, 8 am to 2 pm and 3 pm to 9 pm.  The 2 pm to 3 pm hour is blocked for transition, etc.  At this time, it doesn't look like the evening slot is reserved but that can change.  

Lessons from the past - no food to be cooked on-site.  But there are plenty of other options ...

A number of you have responded to my email couple of weeks ago..
Here are the suggestions so far -
- Beach @ Ray Roberts - has plenty to do for grown ups, teenagers and little ones (huge playscape included)

- Dude ranch - again activities for all - horse riding, throwing a rope, petting zoos - play cowboy/cowgirl for a day

- charitable event - do a 4 hour shift for Untied Way/Habitat for humanity or any other cause and then provide lunch at a common park or restaurant.

- Dallas Arboratum

- Picnic areas around White Rock lake

- Plano (Arbor Hills Nature reserve) - We had picnic there -was great fun

- Richardson (Breckinridge Park) - We had picnic here too - great facilty - tad bit too far?

I would suggest April 21,22 or April 29 as possible dates.

Any volunteers for organizing the picnic??

We would love to come for the picnic. I like all the suggested places for the picnic. Let's do something other than Breckenridge park, it's a nice place but we have had picnics there in the past. Please let us know as to how we can help.

Would love to come and have fun...!We have been to Arbor Hills Nature reserve already, Dallas Arboretum and Ray Roberts would be good but open to other places.. whatever group decides.!

Sounds great.  We need to get an organizing committe together to figure out:

-date, venue, time
-food (high priority item given all the foodies involved)

I think it's going to be windy, no matter what.  Don't know that we can circumvent that!!  The venue will need to be confirmed ahead of everything else as the park reservations fill up quickly and these weekend dates are in high demand.

Also, the voluteering (community/charity) event sounds good and we should perhaps consider that separately.  Get the kids involved as well!

Looking forward to the picnic!!!

I spoke with Arboretum and the only place where we can bring in food from outside is the Pecan grove (Outdoors area). The cost is 1,050 for admission and parking for upto 75 people (i.e.$14 /pp without food) and they will set up buffet tables and round tables and chairs. The other option is to get group discount tickets and have no tables. The group rate lady was not available today.

Also caterers can't come in so we have to hand carry the food in there ourselves.

The other options is to pick one of their other areas and have them cater it as well but that will be more expensive.

I have left a voicemail for the contact at Ray Roberts Lake. Will let you know what I hear from them

So first decide the upper limit on the cost per person (including food) and that will help decide the location.

Abhay - I am forwarding you an email with the details from the Lady at the Arboretum with the details - feel free to upload it here if that is an option.
